Fair Wear and Tear Guide

Pass with Pearson Ltd - Fair Wear and Tear Guide for all Vehicle Hires

This guide outlines what wear and tear is acceptable when returning your hire car to us. All vehicles are checked before being released to you, and any damage already present will be marked on the hire form. 

​

Should any repairs or replacement parts be required to return the vehicle to the condition it was in prior to your hire, a £25.00 administration charge and a loss-of-use charge will be levied along with the cost of the repair/replacement parts (unless allowed in this guide).

​

The loss-of-use charge will be the equivalent hire charge for the vehicle, determined by the duration of any repairs. For example, if the vehicle requires repairs that will take a week, you will be charged for a weeks hire. If the repairs only take one day, you will be charged one days hire.

​

Should any damage outside of this guide be found, then we will gather a minimum of two estimates to repair the damage, and then pass on the average cost to you, along with our administration charge and loss-of-use charge.

Vehicle Cleanliness

​

The vehicle should be returned to us without excess dirt on the exterior or interior. Should the vehicle be returned to us with excessive exterior dirt or interior soiling, a £50.00 cleaning fee will be charged.

​

We recommend cleaning the vehicle prior to returning it to us.

​

Keys and Accessories

​

  • The vehicle key must be in good working condition, free from any damage.

  • The locking wheel nut key must be left in the vehicle, free from any damage (locking wheel nuts must also be free from damage).

  • Any accessories (jack, spare wheel/tyre inflator/tyre sealant/extra mirrors/headboard roof protector/GPS speedometer) must be present and free from any damage. If tyre sealant is used, it must be replaced.

Vehicle keys should be kept safe, and the locking wheel nut key should be left in the glovebox. 

​

Bodywork/Lamps/Mirrors

​

  • All bodywork must be free of any damage that may/will cause corrosion, so any damage that has penetrated through to bare metal is not acceptable.

  • Minor dents, no more than 10mm in height and width, are acceptable providing the paintwork has not been damaged. Multiple dents per panel are not acceptable.

  • Small scratches, no more than 25mm in length, are acceptable providing the basecoat has not been damaged. More than two small scratches per panel is not acceptable.

  • Plastic trim and bumpers must not be deformed.

  • There must be no stickers or sticker/glue residue left on any panel.

  • All factory stickers/decals/logos/badges must be in their correct place.

  • All side mirrors must be free from any damage, cracks or scratches.

  • Lamp units must not be damaged or have holes.

Should any damage arise during your time with the vehicle, you are welcome to arrange for it to be repaired so long as you use a VAT registered business, provide us with the paid invoice showing a description of the repairs and have the repairs completed during your hire period. Should repairs not be satisfactory, you will be charged to have them rectified.

Windscreens/Windows

​

  • Small chips (less than 5mm in diameter) to the front windscreen are acceptable, providing only one is present upon return.

  • Damage to any side or rear window or any sunroof glass is unacceptable.

  • Heating elements on any screen must be entirely working.

​

Should the windscreen or any window on the vehicle become damaged, you can arrange for this to be repaired or replaced at your expense (many insurance companies include glass cover as standard), but any repair/replacement must take place during your hire period. Replacement windscreens/side windows must meet OEM specifications.

Wheels & Tyres

​​

  • Small scuffs to alloy wheels (of no more than 35mm in length) are acceptable.

  • Significant gouges in the alloy wheel (more than 5mm in depth) are not acceptable.

  • Scuffs to wheel trims is acceptable.

  • Damage (cracks/chunks missing) or entirely missing wheel trims is not acceptable.

  • Damage (bulges or cuts) to tyre sidewalls/tread is not acceptable.

  • Tread depth levels of less than 1.6mm will result in a charge to have the vehicle transported to a garage for tyre replacement, but the new tyre will not be chargeable.

  • Any tyres found with tyre sealant in to stop a puncture will be charged.

We will replace any tyre that has less than 2mm of tread depth across the central 3/4 of the breadth of the tyre, at our cost. Punctures and tyre damage is your responsibility, and should the vehicle be returned with a puncture or tyre damage, you will be charged for a replacement tyre.

 

Interior

 

  • All seats, door trims and any other fabric/leather parts must be free from damage, tearing, staining or rips.

  • Screens, dials, and controls must be free from scratches.

  • Carpets should be free from stains.

 

It would be advisable to request that pupils/drivers remove any rings etc before driving, to reduce the risk of scratching any controls.​​​​​
